- Have a clear purpose
- Think about what you want to communicate before you begin writing.
- Consider your audience
- Professors receive dozens of emails daily; though they’re excited to hear from students, keep your message concise and easy to follow. With this in mind, there may be a delay between your outreach and the professor's response.
- Reach out proactively
- Email isn’t just for emergencies. Introductions, assignment questions, meeting requests, due date extensions, and recommendation requests are common and welcome.
- Use a clear subject line
- Briefly state your reason for writing and include your course number/section.
- Open with a correct salutation
- Double‑check name spelling and use “Dr.” if your professor holds a Ph.D.
- Offer a brief greeting
- Keep it simple (“I hope you’re doing well”) or connect it to something recent from class.
